The answer
We take every date from the signed subcontract and its amendments, never from the standard form. Anything we do not have is named as missing, not assumed. The recent application and the notices that answered it show how your cycle runs today and where it leaks. The account of your routine should come from whoever actually prepares and sends the applications. What really happens is where missed dates and unchecked notices come from. We adapt the templates your team already trusts rather than replacing them wholesale. The list of roles, with cover for each, lets us give every step in the routine a named person. The first conversation is free and commits you to nothing. The fixed fee for the set-up is agreed in writing once we have seen your subcontracts. The set-up takes 10 working days, followed by one live payment cycle alongside your team.

The facts
A groundworks subcontractor with six live jobs wants Underpayment Prevention. Its applications are built on a spreadsheet the QS keeps on her own laptop.
What happens
- Five signed subcontracts go over with their schedules of amendments. The sixth exists only as the tender version, so it is named as missing.
- The last application on each job goes over with its sent email and the notice that came back.
- The QS writes two pages on how the cycle really runs, including the laptop spreadsheet.
- The commercial manager lists who prepares, signs and sends each application, and who covers each role.
The outcome
The signed copy of the sixth subcontract is found, and every date is read from the signed wording. The QS's spreadsheet becomes the basis of the new template instead of being thrown away.
