# Project Partner Retainer

Ongoing guidance, reviews or work carried out for you through one monthly retainer. Agree the projects, tasks and support you need with Jack.

## What is it?

The Project Partner Service reserves monthly support for your agreed projects. Use one allowance for quantity surveying, claims and disputes work, with the balance shaped around what you need. This can include cost planning, tender comparisons, payment applications or assessments, variations, cost reports, contractual advice, routine correspondence and developing disputes. We agree the recurring outputs, responsibilities and priorities before work starts.

Substantial claims, full contract reviews, historic reconstruction, extensive negotiation and formal proceedings need an express scope and sufficient allowance, or a separate commission. Contract administrator and employer’s agent appointments need their own defined duties and authority. We agree who prepares, checks, approves and issues each item, including any attendance or site visits. We follow the work and dates expressly accepted, using the information you share.

## How does it work?

1. ### You explain your projects and support needs

You describe your projects, your contractual role, the work you want covered and live deadlines. We identify whether you need continuing support, a separate defined commission or specialist advice.

2. ### We agree the monthly appointment

We check suitability, conflicts and capacity, then agree covered projects, contacts, authority, monthly hours, priorities, response targets and the fixed monthly fee. We identify onboarding, exclusions and responsibilities before you commit.

3. ### You accept the scope and share the project records

You provide the relevant agreements, current accounts and correspondence, programme, live issues and dates. You identify the people who can instruct us and approve decisions; we adapt the records to your business or home project.

4. ### We establish the opening position and priorities

We check the information, identify gaps and agree the issue list, action owners, deadlines and initial priorities with you. Main-contract, subcontract and employer duties remain separate. Urgent actions are accepted expressly and do not wait for a monthly review.

5. ### You share changes and authorise decisions

You send new records and concerns as they arise, answer queries and make the decisions reserved to you. We confirm the task, output and delivery timetable; substantial work or specialist dependencies are scoped before it starts.

6. ### We carry out and check the agreed tasks

We follow the workflow appropriate to each instructed valuation, cost report, review or claim task, check its evidence and calculations and explain the result. External issue needs the agreed authority. We record time used and flag the allowance before additional hours are incurred.

7. ### You approve any additional scope or hours

You decide whether to reprioritise within the remaining allowance, approve extra work at the agreed standard rate or commission a separate service. We do not proceed with unapproved extra hours or charge twice for work covered by your allowance.

8. ### We review the month and agree the next priorities

We review completed work, open issues, decisions, dates and hours used with you. We provide a concise action summary and agree any change for the next monthly period; the support and update cycle repeats while the appointment continues.

9. ### We hand over when support ends

When cancellation or the agreed end takes effect, we identify live issues, deadlines and responsible people, hand over the agreed records and explain any unfinished work. We confirm who takes over each outstanding action; continuing monitoring is not assumed.

Reserve a minimum of two eight-hour days (16 hours) each month. The time can be used across agreed tasks during the month, rather than only as two full days. Your agreed retainer allowance receives a 20% discount from the standard day rate or its hourly equivalent. We confirm the fixed monthly fee privately before you start, with the scope, tax treatment, expenses and any separate onboarding work agreed in writing.

We invoice monthly for the coming retainer period, with approved extra hours invoiced in arrears. Before starting, we agree the billing date and payment deadline around your invoice cut-off and payment run. Payment terms are normally 14 calendar days from the invoice date; any different timetable is agreed in writing first. The invoice identifies each period and allowance, with a record of time used and any approved additional work.

The monthly fee reserves your agreed capacity and is payable whether or not you use the full allowance. Unused hours expire at the end of each monthly period and do not roll over. We flag when your allowance is running low. Additional hours are charged at the standard, undiscounted rate, with your approval before we proceed. The 20% discount applies only to the allowance agreed for that month, not to extra hours or separately commissioned work. Work completed within your paid allowance is not also charged as a standalone fixed-fee item.

The retainer runs on a rolling monthly basis. You can increase or decrease your allowance for the next month, subject to the two-day minimum; increases depend on available capacity and an agreed revised fee. Cancel before your next monthly period starts and the retainer ends at the close of the current period. We confirm any live actions and hand over the agreed records.

Work directly with Jack Butler-Kettle by WhatsApp, email or phone, with priority support under agreed working hours and response targets. Ask questions as they arise and get advice from someone who knows your projects. Advice, correspondence and reviews count towards your monthly allowance. Initial feedback explains the available information and next action. Substantial work has a separately agreed delivery timetable.

Flag live deadlines when you enquire; they continue to run while records are gathered. We confirm any urgent action we can accept. [How we agree fees, timing and responsibilities](<https://www.quantsurv.com/about#ways-to-work>).
