# Development construction cost reporting

For residential developers

Track phase and package commitments, changes and the remaining construction cost against your development budget.

## What is it?

We distinguish actual spend, commitments and forecast costs to completion. Sales income, land value and financing returns are outside this construction-cost report. A commercial reporting setup or a report for one agreed period. Setup establishes the project’s reporting structure and opening position; each later reporting cycle is separately instructed or covered by an agreed retainer.

Historic data reconstruction, additional projects and subsequent periods require their own instruction or an agreed retainer allowance.

## How does it work?

1. ### You explain the work and the decision you need

You describe the named development phase, plots and contract packages, the result you need and any urgent dates. The introductory conversation checks fit and availability; substantive assessment starts under an accepted instruction.

2. ### We agree the scope, responsibilities and fee

We check suitability, conflicts and capacity, then agree the scope, deliverables and timetable in writing, with a fixed fee or agreed hourly or daily basis. We explain payment terms, VAT and any separate costs before you accept. We agree the report period, cost boundaries, cut-off and reporting frequency. Recurring reports require an agreed ongoing scope. We confirm responsibility for urgent actions and specialist input.

3. ### You accept the scope and provide the information

You accept the written scope and provide the approved budget, cost codes, orders and commitments, transactions, payment and valuation records, change register, programme and remaining-work forecast. You identify missing items and the versions supplied; we agree who will obtain anything still needed.

4. ### We check the records and resolve gaps

We check the documents against the agreed scope, dates and versions, raise queries and record the basis on which work can proceed. Missing evidence stays identified; we agree any limited assessment or pause affected work until essential information is available. Live deadlines continue to run.

5. ### We reconcile the reporting position

We check opening balances, current transactions, commitments and accruals against the source records and previous report. We distinguish payments from cost incurred and investigate unexplained movements.

6. ### We forecast construction cost to completion

We reconcile phase, plot and shared costs, test remaining-work allowances and show the effect of changes on each construction budget.

7. ### We check and explain the movements

We check totals, allocations, duplication and consistency with the previous report. We explain material variances, sensitivities and decisions that could change the forecast.

8. ### You agree the actions and reporting baseline

You confirm factual corrections and choose actions on procurement, scope or expenditure. We record the approved baseline and responsible people; the next reporting cycle starts only if included in your instruction.

9. ### We explain the result and complete the handover

We issue the construction-cost report, reconciliation and decision list, explain the findings and record unresolved items, next actions, owners and dates. We answer the included clarification and correct our errors. New information, changed scope and later stages need a separate agreement; you decide whether to instruct them.

We confirm timing after checking the scope and available records. Flag any live deadline when you enquire; it continues to run while information is gathered.

## What do you get?

You receive the outputs for the stages you choose. Each stage has its own scope, fee and endpoint; later stages are optional.

- A construction-cost report showing budget, spend, commitments, changes and forecast cost to completion.
- A reconciliation of movements, assumptions, risks and decisions requiring your approval.

Each fixed piece of work includes one consolidated clarification round requested within 10 working days of issue, unless agreed otherwise. New records or scope need a separate agreement; we correct our own errors without charge.
