# Main-contract and subcontract administration support

For main contractors

Maintain the agreed commercial registers and correspondence across the named contracts for one reporting period.

## What is it?

We distinguish obligations to your client from instructions and payments to subcontractors, with a named responsible person for each action. Practical administration of named contract procedures for an agreed reporting period. We start from an existing contract review and action plan, checking and reusing it; a new baseline is commissioned through the signed-contract review service.

A contract administrator or employer’s agent role, disputed claims and procedures outside the named scope require separate appointment or instruction.

## How does it work?

1. ### You explain the work and the decision you need

You describe the named main contract or subcontract and your position under it, the result you need and any urgent dates. The introductory conversation checks fit and availability; substantive assessment starts under an accepted instruction.

2. ### We agree the scope, responsibilities and fee

We check suitability, conflicts and capacity, then agree the scope, deliverables and timetable in writing, with a fixed fee or agreed hourly or daily basis. We explain payment terms, VAT and any separate costs before you accept. We agree setup or a defined operating cycle, the contract and procedures covered, and who is authorised to instruct, certify or serve notices. We confirm responsibility for urgent actions and specialist input.

3. ### You accept the scope and provide the information

You accept the written scope and provide the operative agreement and amendments, obligations and dates register if available, programme, current correspondence and project roles. You identify missing items and the versions supplied; we agree who will obtain anything still needed.

4. ### We check the records and resolve gaps

We check the documents against the agreed scope, dates and versions, raise queries and record the basis on which work can proceed. Missing evidence stays identified; we agree any limited assessment or pause affected work until essential information is available. Live deadlines continue to run.

5. ### We establish the obligations and live actions

We check contract-specific dates, communication routes and records for the named main contract or subcontract and your position under it. Where setup is needed, we identify the signed-contract review required before a routine can operate reliably.

6. ### You confirm responsibilities and current facts

You confirm the people responsible for decisions, evidence and deadlines. We keep your actions separate from those of the other party and any formal administrator; the authorised person for the particular main contract or subcontract retains decisions outside our authority.

7. ### We operate and check the agreed procedures

We review the current records, update the agreed registers and prepare expressly instructed correspondence. We check the contractual basis, supporting evidence and required approvals before the authorised person issues it and records delivery.

8. ### We review exceptions and the next cycle

We reconcile completed and outstanding actions, escalate overdue or disputed matters and record the next dates. Changed instructions or specialist work are agreed separately; monitoring continues only for the period and frequency commissioned.

9. ### We explain the result and complete the handover

We issue the updated registers, agreed correspondence and action record for the instructed setup or cycle, explain the findings and record unresolved items, next actions, owners and dates. We answer the included clarification and correct our errors. New information, changed scope and later stages need a separate agreement; you decide whether to instruct them.

We confirm timing after checking the scope and available records. Flag any live deadline when you enquire; it continues to run while information is gathered.

## What do you get?

You receive the outputs for the stages you choose. Each stage has its own scope, fee and endpoint; later stages are optional.

- Setup through the signed contract review: obligations, dates, responsibilities and a practical action plan.
- Operating cycle: updated registers, expressly agreed correspondence and an action summary.

Each fixed piece of work includes one consolidated clarification round requested within 10 working days of issue, unless agreed otherwise. New records or scope need a separate agreement; we correct our own errors without charge.
